Speaker Registration Questions

Do I qualify for a complimentary registration?

If you are the primary speaker (non-exhibitor), you will be given one complimentary registration (no other expenses are reimbursed by the conference). The system will automatically recognize you as a speaker and include the complimentary registration in the process. If the system does not recognize you as a speaker, please contact regional-support@heug.org for assistance. Do not pay the registration fee, you will not receive a refund. You may register here starting May 13 and will need to be registered by June 14, 2019.

Do exhibitors qualify for a complimentary registration?

All presenters of an exhibitor session do not receive complimentary or discounted registrations. Please click here select 'Register Now' then 'Register as an Exhibitor/Sponsor'. Use your exhibitor code to register for the conference. If you do not know your exhibitor code, please contact your company’s primary contact for the conference. Please register by June 14, 2019.

Is my complimentary registration transferable?

The registration waiver is non-transferable. Please refer to the Presenter Policies for details.

Is there a deadline for my complimentary registration?

If your registration is not completed prior to June 14, 2019, your session may be canceled; or if not canceled, you will be responsible for the difference between the early-bird rate and the rate in effect at the time of registration for the waiver.

Presentation Questions

Are there specific guidelines my presentation should follow?

All presenters are asked to prepare a visual presentation using Microsoft's PowerPoint or other medium so that session materials can be made available to the attendees via the conference website. The official US Regional Alliance 2019 PowerPoint template can be downloaded here. Please note: It is not required to use the PowerPoint template.

How can I make changes to my session details?

If you would like to make any changes please email regional-support@heug.org

What should I prepare before the conference?

Having a copy of the PowerPoint or handouts to take notes is extremely helpful for attendees.  Speakers should upload the most current version of the presentation prior to the conference and upload any updates after the conference while the topic is fresh for everyone.

How do I upload my PowerPoint presentation?

Only primary presenters will have the ability to upload a session.

1) Go to My Registration
2) Select the “My Presentations” tab
3) Click “View” next to your session
4) Click the icon that has two papers, and upload each of your files.

*Exhibitors, if you're unable to upload your presentation please forward them to Regional Support (regional-support@heug.org) along with your the conference name, session number or title and we will be able to assist you.

What equipment will be made available to me?

All meeting rooms are equipped with LCD projector, screen, and wireless internet access. Your laptop must have its own wireless card or method of accessing the wireless signal.

What equipment should I bring?

Presenters must bring their own laptop and any adapters if applicable. Only HDMI and VGA connection will be available in each room, however if you need a different converter (ie. DVI, Apple, etc), please bring it with you.

Is there a way to communicate with attendees before the conference?

Some speakers and attendees like to have preliminary discussions with those attending to enhance the dialogue at the conference. Follow the steps below to start communicating:

1) Go to My Registration
2) Select the ‘My Agenda’ tab
3) Find your session in your agenda and click on it
4) Click the ‘Comments’ button at the bottom of the dialogue box
5) View or ‘Add Comments’ on the next tab
6) To view all updates and comments, click the ‘Event Updates’ tab on your registration details page)

*All Primary Presenters will automatically receive an email notification once any comments are made. Attendees will receive a weekly notification of comments.
